# Training records that survive an aviation audit

> How to keep online aviation training records that stand up in a Part-145 or CAMO audit: names, revisions, certificates and competence.

A training record is useful when it answers four questions without a phone call: who, which course revision, when, and what still requires a local competence check.

## Name the person and the revision

Certificates on mxcourse.net are named. Progress is tied to an enrolment, and the enrolment stores the course revision the person actually took. If you re-import an updated course, completed learners keep the revision they finished.

When an auditor asks “which syllabus did this person see?”, you should be able to point at the certificate, the revision, and the public syllabus for that course code.

## Separate knowledge evidence from authorisation

File the online certificate as knowledge evidence. File the authorisation, stamp, or tank-entry permit as a different document. Mixing them in one row of a spreadsheet is how people get sent to do work the certificate never covered.

The platform will not grant aircraft access, a CRS, or an instructor acceptance. That is a feature. Your quality system should say the same thing in writing.

## Use seats as a control, not as a pile of unused licences

A seat is assigned once. That stops the “shared login” pattern that makes training records meaningless. If someone leaves, do not recycle their certificate. Buy a seat for the next person.

Managers can watch progress without sitting next to the trainee. Incomplete enrolments are visible. Certified enrolments show the certificate number.

Each published course has a public syllabus page and a print view. Save the PDF against the purchase or the competence file.

### Can one login be used by a whole shift?

No. A seat belongs to one named learner. Shared logins destroy the certificate’s meaning and are not how the platform is designed.
